Minutes from Singing Lions AIG Board Meeting Teleconference

 

Date:  January 5, 2004

Time:  9:00 – 10:45 p.m.

 

(1)  Financial Officer’s Report

 

-         Keith has received an info packet from Yac

-         Keith is still awaiting a letter from Yac that will transfer the account

-         Tim Hall motioned to add the group Secretary to the account and the motion was carried by majority vote

-         Action:  Keith agreed to put together a financial disclosure statement for the next newsletter and make a full annual report at the April annual meeting in accordance with the AIG by-laws.

-         Action:  All committee chairs agreed to submit an annual budget estimate to Keith by the end of January.

 

(2)  Fundraising Committee Report

 

-         Keith report that no progress had been made with forming/organizing this  committee.

 

(3)  Social Committee Report

 

-         Social committee has been formed.  Committee is working two issues.  First is

Upcoming Penn State football ticket lottery. 

-         Action: Jessica took an action to write up a blurb for the upcoming newsletter   

                  to guage interest.  We agreed that people would pay for any tickets won using

                  their credit card on the AIG web site through PayPal

            -     Action:   Jeff agreed to create a page on the web site for this purpose. 

-     Action:  Second near term task being worked by the social committee are the 

plans for the April alumni social in conjunction with the 1st annual meeting.  Jessica accepted an end of January deadline to get the most basic details worked out such as time and place (and perhaps a cost estimate) so we could advertise in the Feb newsletter.

-         Action:  Tim agreed to contact Dana Allen (PSAA) to find out if there would

be any “issues” with the AIG using any football tickets won as an fundraiser (such as through a raffle)

 

(4)  Connections Committee

           

-         Jeff reported no activity but promised to get things going soon.

-         Tim reported 1st newsletter printed and mailed out for committee on 5 January. 

-         Action:  Jeff requested assistance recruiting committee members.  Margee took action for Nominating Committee to provide assistance. 

 

(5) University and Public Relations Committee

 

            -    Tim reported no activity since last board meeting.  A meeting of the committee

      in State College in Feb is planned. 

 

(6)  Membership Committee

 

-         Keith reported for the membership committee on behalf of Tia.

-         The committee has been formed. And have brainstormed a list of great ideas

for membership recruiting initiatives over the next year.

-         Action:  The Board gave some near term guidance to focus on current PSAA

members and to try to recruit between 5 and 10 over the next few months.

 

(7)  Nominating Committee and 1st Election Plans


            -      In accordance with the decision made in the October meeting, the Board

       discussed progress and plans for the upcoming election that will expand the

       board by two members.  We reminded everyone that this was a temporary

       expansion and the board would be back down to its standard size by April    

       2005 when the two interim board members will resign      

-          The board agreed to conduct the election by placing a mail-in ballot in the  

       January newsletter.  AIG members will also be given the opportunity to vote 

       via email.

-         Actions: Nominating committee is already working on four individuals who

      previously had expressed interest in serving on the board.   They will narrow

      the list and provide the official nominations to the board by the end of  

      January.

 

(8)   Chad initiated some discussion about the date and venue for the Singing Lions spring concert.  He had concerns about the cost of using Schwab.  Individuals on the board expressed opinions that the cost was worth the risk…and that with proper advertising they would probably do no worse than break even.  Chad Elder said he was convinced and would take the recommendation back to the Singing Lions officers for a vote.  If all works out, the Singing Lions will do their concert in Schwab on April 18, 2004.  The AIG, then, will have a board meeting on the day prior (April 17) and host an alumni social event prior to the concert on the 18th in conjunction with the AIG’s first annual meeting. 

 

(9)  One last item.  Jessica raised the point that certain AIG members might prefer to receive their AIG newsletters electronically.  Jeff took an action to put a message in the upcoming newsletter that would prompt a response from those (via email) who have this preference.
